TERMS AND CONDITIONS
These booking terms and conditions outline the agreement between you and Stridely Limited ‘Stridely’, when booking one of our trips or retreats. Please read them carefully before making a booking, as they set out important information regarding payments, cancellations, changes, and responsibilities.
By confirming a booking with Stridely, you acknowledge that you have read, understood, and agreed to these terms and conditions.
Jurisdiction and Contract
These terms and conditions are governed by the laws of England and Wales. Any disputes arising in relation to these terms shall be subject to the exclusive jurisdiction of the English courts. All booking arrangements are made with Stridely Limited, which is a Private Limited Company registered in England with Companies House under the Registration Number 17225371.
Booking & Payment
Bookings are secured with a £250 deposit. The remaining balance will be due 12 weeks before the trip start date.
Your booking is confirmed once we have received your deposit payment and issued written confirmation of your place on the trip. Failure to pay the remaining balance by the due date may result in your booking being cancelled.
Cancellation by You
The £250 deposit is non-refundable.
If you wish to cancel your booking, written notice must be provided by email. Cancellation charges are applied based on the date we receive your notice:
More than 12 weeks before departure: loss of deposit only
Less than 12 weeks before departure: loss of all monies paid
If we are able to fill your place on the trip, we will always do our best to offer a partial refund or transfer where possible, although this cannot be guaranteed.
We strongly recommend that all guests take out comprehensive travel insurance covering cancellation, illness, injury, and personal belongings.
Security of pre-payments
The Package Travel and Linked Travel Arrangements Regulations 2018 require us to provide security for the monies that you pay for multi-day trips. All trip payments are insured. In the event of financial failure before your departure, all monies paid, excluding insurance premiums, will be refunded to you.
Changes & Transfers
If you need to make changes to your booking, we will do our best to accommodate requests where possible, although changes cannot be guaranteed.
Bookings may be transferred to another person or to an alternative Stridely trip, subject to availability and reasonable notice. Additional costs may apply where suppliers charge amendment or transfer fees.
Please note that the sale or transfer of booked trip or retreat places is prohibited, unless with prior agreement of Stridely.
Cancellation by Stridely
In the unlikely event that we need to cancel a trip, guests will be offered either:
a full refund of monies paid to Stridely, or
the option to transfer to an alternative trip, subject to availability.
Stridely cannot be held responsible for any additional costs incurred by guests, including flights, transport, accommodation, or other third-party arrangements booked independently.
Minimum Group Numbers
Some trips require a minimum number of participants in order to operate. If minimum numbers are not reached, Stridely reserves the right to cancel, postpone, or amend the trip. In such circumstances, guests will be offered either:
a suitable alternative trip, or
a refund of monies paid to Stridely.
Stridely cannot accept responsibility for costs relating to independent arrangements booked separately by guests.
Age Requirements
Unless otherwise stated, guests under the age of 18 must be accompanied by a parent or legal guardian. Stridely reserves the right to apply minimum age requirements to certain trips or activities where appropriate.
Pregnancy Deferral & Cancellations
At Stridely, we understand that pregnancy can sometimes affect travel plans and participation in our trips. We aim to approach these situations with kindness, flexibility, and fairness, while also balancing the practical commitments involved in organising our experiences.
This policy applies to guests who: become pregnant after booking a Stridely trip, and notify us before the trip departure date that they are no longer able to travel or participate due to pregnancy.
Please note that this policy applies only to the pregnant guest and does not automatically extend to others included within the same booking.
We do not require medical proof or documentation relating to pregnancy. Written notification by email is sufficient, and we encourage guests to contact us as soon as possible so we can discuss the available options together.
If you notify us more than 3 months before your trip that you are no longer able to travel due to pregnancy, we’ll happily offer a one-time transfer to another Stridely trip, without an admin fee. Your new trip must take place within 24 months of the original departure date, and any price difference will apply at the time of rebooking.
If you choose to cancel your booking, or notify us less than 3 months before departure, our standard cancellation terms will apply.
We strongly recommend taking out travel insurance that covers pregnancy-related cancellation or medical advice not to travel.
Travel Insurance
Guests are strongly advised to obtain suitable travel insurance at the time of booking, including cover for:
cancellation and curtailment
medical expenses
personal belongings
travel disruption
activities included within the trip itinerary
It is your responsibility to ensure your policy provides appropriate cover.
Participation & Responsibility
Many Stridely trips involve physical activity, including running, hiking, yoga, and other outdoor pursuits. Guests are responsible for ensuring that they are medically and physically fit enough to participate safely.
By booking a trip, you acknowledge that participation in adventure and outdoor activities carries an inherent level of risk.
Guests must inform Stridely of any relevant medical conditions, injuries, allergies, or accessibility requirements at the time of booking.
Stridely reserves the right to refuse participation in activities where a guide or instructor reasonably believes that participation may present a risk to the guest or others.
Guests are expected to follow the instructions of guides and trip leaders at all times to help ensure the safety and enjoyment of the group.
Assumption of Risk
Guests acknowledge that participation in outdoor and adventure activities, including but not limited to running, hiking, swimming, yoga, and other physical activities, involves an inherent level of risk.
These risks may include injury, illness, falls, difficult terrain, adverse weather conditions, equipment failure, transport disruption, or other unforeseen circumstances. By participating, guests accept these risks and agree to take personal responsibility for their own safety and wellbeing throughout the trip.
Guests are expected to act responsibly and follow all instructions provided by Stridely guides, instructors, and trip leaders.
Leaving a Trip
If you choose to leave an activity or depart from the group voluntarily during a trip, Stridely cannot accept responsibility for your safety, wellbeing, travel arrangements, or any additional costs incurred following your departure.
Accommodation
Where accommodation is included in your trip itinerary, these will be provided on a twin room sharing basis. Please let us know if you would prefer a single room, and where possible we will arrange this, at an additional cost.
Guest Behaviour & Conduct
We want all Stridely trips to be enjoyable, inclusive, and respectful experiences for everyone involved. Guests are expected to behave considerately towards fellow travellers, guides, instructors, accommodation staff, and members of the public throughout the trip.
Stridely reserves the right to remove a guest from a trip, activity, or accommodation without refund where behaviour is deemed by our team to be:
disruptive, abusive, aggressive, or unsafe
discriminatory, offensive, or inappropriate
excessively intoxicated
likely to negatively impact the safety, wellbeing, or enjoyment of others
in breach of local laws, accommodation rules, or guide instructions
If a guest is asked to leave a trip, any additional costs incurred, including travel, accommodation, or onward transport arrangements, will be the responsibility of the guest.
Our guides and team leaders reserve the right to make decisions in the best interests of the group’s safety, wellbeing, and overall experience at all times.
Passports, Visas & Travel Documentation
Guests are responsible for ensuring they hold valid passports, visas, vaccinations, and any other travel documentation required for their destination.
Stridely accepts no responsibility for costs, losses, or disruption arising from incomplete or incorrect travel documentation.
Trip Inclusions & Exclusions
Specific inclusions and exclusions for each trip are outlined within the individual trip itinerary and booking information. Unless otherwise stated, the following are not included within the trip price:
travel to and from the trip destination, flights or airport transfers, visas or travel documentation,
travel insurance, meals and drinks not specified within the itinerary, personal expenses, optional activities or services
Additional Charges & Property Damage
Guests are responsible for any additional personal costs incurred during the trip, including but not limited to hotel charges, bar or restaurant tabs, room service, spa treatments, transport upgrades, or other incidental expenses not explicitly included within the trip package.
Guests are also responsible for any loss, damage, or excessive cleaning charges relating to accommodation, transport, venues, or property caused during the trip. Any such costs charged to Stridely by accommodation providers or suppliers may be passed on to the guest responsible.
Medical Treatment
In the event of illness, injury, or emergency during a trip, guests authorise Stridely and its representatives to arrange or seek appropriate medical treatment where deemed necessary.
Any medical treatment, transport, medication, or associated costs incurred during the trip remain the responsibility of the guest.
Force Majeure
Stridely cannot accept liability or pay compensation where the performance of our obligations is prevented or affected by events beyond our reasonable control. This includes, but is not limited to, extreme weather, natural disasters, fire or flood, strikes, pandemics or public health emergencies, government restrictions, transport disruption, or other unforeseen circumstances.
Complaints
We genuinely want all Stridely trips to be enjoyable, positive experiences for everyone involved. If something isn’t quite right during your trip, please let your guide or a member of the Stridely team know as soon as possible so we have the opportunity to resolve the issue at the time.
If you remain dissatisfied following your trip, please contact us in writing within 28 days of your return, including full details of your complaint. We will always do our best to review concerns fairly and respond promptly.
Please note that Stridely guides and trip leaders are not authorised to offer refunds, compensation, or additional services without prior agreement from the Stridely management team.
Guests who choose to leave a trip early or withdraw from activities for personal reasons will not normally be entitled to a refund or compensation, unless agreed at Stridely’s discretion.
Group Pace & Participation
Before each trip, we do our best to place guests into groups with similar abilities and experience levels to help ensure an enjoyable experience for everyone.
All guests are expected to run, walk, and participate as part of their designated group, following the guidance and pace set by the Stridely guide or trip leader. For safety and group cohesion, guests should remain with their group unless otherwise agreed with the guide.
If at any point you feel that the pace or difficulty level of your group is not the right fit, please speak to your guide as soon as possible. Where alternative groups or guides are available, we will always do our best to accommodate a change where feasible.
Rules of Participation
To help keep everyone safe and ensure the best possible experience for the group, all guests are expected to follow the guidance of their Stridely guide or trip leader throughout the trip.
Guests should remain with their designated group unless agreed otherwise with a guide. If alternative pace groups are available, we will always do our best to accommodate changes where possible.
Participation in trail running and outdoor activities involves inherent risks, including uneven terrain, changing weather, road or river crossings, loose ground, and remote locations. Guests are responsible for ensuring they are appropriately prepared, physically capable, and equipped for the activities included within their trip.
Any mandatory kit listed for a trip must be carried at all times where instructed. Please see our Kit List available on our website.
Guests are responsible for fully disclosing any relevant medical conditions, injuries, or changes to their health prior to the trip.
The use or possession of illegal or recreational drugs during any Stridely trip is strictly prohibited and may result in removal from the trip without refund.
If a guide or trip leader believes that a guest is unable to continue safely due to injury, illness, fatigue, or any other reason, Stridely reserves the right to remove them from part or all of the activity. Any onward transport, medical treatment, or associated costs will remain the responsibility of the guest.
If you become injured or unwell during an activity, we will always do our best to assist and arrange appropriate support, whether that involves meeting a support vehicle where possible or contacting local emergency services if required. Any medical treatment, evacuation, transport, or associated costs incurred will remain the responsibility of the guest, which is why we strongly recommend appropriate travel and activity insurance.
Guests are expected to respect the natural environment at all times, including following local guidance and leaving no litter on trails or routes.
For safety reasons, only registered participants may take part in Stridely activities and trips.
Stridely reserves the right to amend routes, itineraries, timings, or activities where necessary due to weather, safety concerns, route conditions, or other unforeseen circumstances.
Photography & Personal Data
During our trips, Stridely may capture photographs and video content to help share the experience of our adventures through our website, social media channels, and other promotional materials.
By booking with Stridely, you agree that images or video featuring you may be used for legitimate marketing and promotional purposes without compensation. If you would prefer not to appear in photography or video content, please let us know before your trip and we will always respect your wishes.
We take the privacy and security of your personal information seriously and will handle your data in accordance with applicable UK data protection legislation and our Privacy Policy.
In order to deliver your trip and associated services, we may need to share relevant booking information with trusted third-party suppliers, guides, accommodation providers, transport companies, or service partners involved in organising your experience. We will only share information necessary for the operation of your booking.
Dietary Requirements & Food Allergies
We will always do our best to accommodate dietary requirements and food allergies where possible, provided we are given reasonable notice ahead of your trip.
Many of the meals and snacks provided during our trips are supplied by third-party providers, including hotels, cafés, restaurants, and bakeries. While we will communicate dietary requirements to our suppliers, we cannot guarantee that any food is completely free from allergens, including nuts, gluten, dairy, or other common allergens, as food may be prepared in shared kitchens and environments.
Guests with allergies or specific dietary needs are responsible for checking ingredients where appropriate and, in some cases, may wish to bring additional snacks or specialist foods to ensure their needs are fully met.
Unfortunately, dietary requirements cannot usually be changed during the trip itself and should remain consistent throughout the booking. If you have any concerns or would like to discuss your dietary requirements before booking, please contact us.
Liability
Stridely accepts responsibility for providing the services described in the trip itinerary with reasonable skill and care. However, Stridely shall not be liable for:
loss or damage to personal belongings
injury, illness, delay, or loss arising from events beyond our reasonable control
actions or omissions of third-party suppliers
any indirect or consequential loss
Nothing within these terms excludes liability for death or personal injury caused by negligence where such exclusion is prohibited by law
Governing Law
These terms and conditions are governed by the laws of England and Wales. Any disputes arising in relation to these terms shall be subject to the exclusive jurisdiction of the English courts.
